Meetings in Teams include audio, video, and screen sharing. For better sound quality, we recommend participants to use ear buds that include a microphone.  

Join a meeting 

From your Desktop

You can join a Teams meeting anytime, from any device, whether or not you have a Teams account. Follow these steps to join as a guest if you don't have an account.

  1. In your email meeting invite, select Join Microsoft Teams Meeting.
    You can also use a dial-in number and conference ID from the email to call in.
  2. You have two choices: Download the Windows app or Join on the web instead.
    Select Join on the web instead. If you join on the web, you can use either Microsoft Edge or Google Chrome. Your browser may ask if it's okay for Teams to use your mic and camera. Be sure to allow it so you'll be seen and heard in your meeting.
  3. Enter your name and choose the audio and video settings you want.
  4. When you are ready, select Join now.
    Depending on meeting settings, you'll get in right away, or go to a lobby where someone in the meeting can admit you.

From your Mobile device

Even if you don't have a Teams account, you can still join a Teams meeting on the mobile app. Here's how:

  1. In your email meeting invite, select Join Microsoft Teams Meeting.
  2. If you don't already have the Teams mobile app, you'll be taken to your app store to download it.
  3. Download the app and open it right from the app store page.
    Teams will ask if it's okay to use your mic. Be sure to allow it so others in the meeting will be able to hear you.
  4. Next, you'll be given two options for joining your meeting: Join as a guest or Sign in and join. Choose Join as a guest.
  5. Type your name and tap Join meeting.
  6. Once you're in the meeting, you can turn your video or mic on or off by tapping on the center of your screen to show the meeting controls. Tap again to hide them.

Show your screen during a meeting

In Microsoft Teams, you can show your desktop, a specific app, presentation, or any file while in a meeting. When presenting ensure that the only items open on your desktop is the presentation itself as what is shown on your screen is exactly what will be broadcast during the presentation.  

  1. Select ShareShare screen button .
  2. Select what you want to share:
    • Desktop lets you show everything on your screen.
    • Window lets you show a specific app.
    • PowerPoint lets you show a presentation.
    • Browse lets you find the file you want to show.
  3. After you select what you want to show, a red border surrounds what you're sharing.
  4. Select Stop sharing to stop showing your screen.
